Is the transfer of accounts receivable accounting GDPR and GOBD compliant?

Yes, our services are compliant with all German GDPR and GOBD laws and adhere to them. All tools used are secure and are always kept up to date.

Which payment types are included in the accounting/accounts receivable service?

For all payment methods that we have integrated with you, we take over the associated accounts receivable accounting at no additional cost. However, we are also happy to take over the accounting for payment methods that have not been implemented by us, simply contact us.

How does the accounts receivable accounting service work?

We automatically transfer the customer master data and open items from your store or your marketplaces and compare them with the settlement data (settlement files) of the payment methods and the account movements of your recipient account. In this way, we ensure that the invoices issued have been paid correctly. Credit notes are also processed using the same principle.

If invoices are not paid on time, reminders and, if necessary, a debt collection process are automatically triggered. You don’t have to worry about a thing. At the end of each month, we are happy to send the sales to the desired location via an interface or file.

If you have made sales in other European countries, we will be happy to prepare the individual sales to the respective countries and send them to you so that you can complete your tax declaration quickly and easily using the OSS procedure.

All these processes are handled via our innovative 360° headless commerce platform IDEAL 360.

What do I need to use the accounts receivable accounting service?

We require access to the following data via an interface (API):

Customer master data
Open items (OP data)
Account statements (via camt.053)
Transfer release (via pain.001)
Settlement files of your payment methods

In addition, we need a chart of accounts from you at the beginning for reconciliation in order to post the correct accounts for you. We will be happy to support you throughout the entire process.

Which currencies are supported?

We are multi-currency capable and are happy to support you in booking a wide range of currencies. We also support crypto currencies.

What is the GWG process?

The Money Laundering Act (GwG) aims to combat the movement of funds into illegal areas such as money laundering and terrorist financing. For this reason, when implementing new payment methods, we have to go through such a review process with you. The following information is required:

Extract from the commercial register (for legal entities)
Business registration (for natural persons)
Copies of the authorized signatories’ identity documents
Organizational chart with signature (for complex company structures)
Transparency register extract

What is a KYC process?

A know-your-customer process is a creditworthiness and legally required check procedure that is usually carried out in a few seconds without the customer having to submit anything. Based on the information entered by the customer and the comparison of this information in various databases, the trustworthiness of the customer is checked via the invoice amount to be paid. This prevents money laundering or terrorist financing and minimizes the risk of non-payment.

Can I also use the accounts receivable accounting service when selling via a marketplace?

Yes, this is usually not a problem. We support over 200 different marketplaces and also handle the associated accounts receivable accounting for them. In this case, we also need the following information:
